AI in Kubeuron
What AI does in Kubeuron, where you'll see it and what stays under your control.

AI does the reading and writing that takes the most time: it analyses every review, drafts replies, researches your online reputation and suggests what to improve. You decide what gets published.
What AI does
| Feature | What AI does | Where you see it |
|---|---|---|
| Review analysis | Reads every review: overall and per-topic sentiment, urgency, and whether the customer needs a private follow-up | Badges on every review in Reviews, Themes on Overview, Urgent reviews first in Needs attention |
| Insight summary | Summarises the last 30 days: what customers praise, what they complain about (with real quotes) and what to do next | Summarize my reviews in the Kubeuron AI card on Overview |
| Reply drafts | Writes a reply in your business's tone and the reviewer's language. Adjust it with Shorter, Warmer or your own instruction | Draft with AI on any review, or automatically with a workflow |
| Reply check | Checks drafts for problems such as incentives, requests to change a review or private details | Warnings under the draft, and before any automatic reply |
| Messages | Writes review requests for SMS, WhatsApp or email, and private follow-ups to unhappy customers | Write with AI in Request reviews and on a customer's page |
| Recommendations | Turns recurring complaints and gaps into prioritised next steps | What to do next on Overview, and the Roadmap |
| Reputation scan | Researches public sources about your business and links every finding to its source | Online reputation on Overview. See Online reputation |
| Assistant | Answers from your live data and gets things done: finds reviews and customers, groups customers, adds and edits customers, saves reply drafts and creates workflows. Anything that reaches a customer, publishes or deletes is shown as a card you confirm | Chat, and Kubeuron AI in the dashboard header |
| Business reports | Reads your numbers for a period, compares them with the period before and explains what's working, what's hurting and what to do next | Reports. See Reports |
| Workflow suggestions | Recommends the automations that fit your customers, channels and review sites, ready to review and create | Suggested for your business in Workflows |
How it fits your week
- New review arrives: AI tags it and, if a workflow is on, saves a reply draft.
- You review: open Reviews, check the draft, edit it and publish.
- Patterns emerge: recurring topics appear in Themes and become roadmap items.
- You act and measure: mark an item done, and Kubeuron compares your results before and after.
You stay in control
- Nothing is published without your approval. The only exception is Auto-respond in Organization → Notifications, which you can turn on for 5★, 4★ and up, or 3★ and up. Each automatic reply is checked first; if the check finds a problem, the reply is saved as a draft for you instead. Negative reviews always wait for you, and auto-respond only works on Google.
- AI never contacts customers on its own. Review requests are sent only by you or by a workflow you turned on.
- The reputation score is calculated from the evidence, not chosen by AI.
- Reviews imported before AI was set up can be analysed later with Analyse remaining reviews in the Kubeuron AI card.
Teach the AI about your business
In Organization → AI, select Confirm your business and answer three short steps: who you are (name, type of business, city, website), what you do (services and customers) and how you sound (reply voice, what you're known for, what never to mention, how to sign replies). Every answer is optional except the name. Overview shows a reminder until it's done.
The AI uses these answers in every reply, message, summary and assistant answer. Anything you list under never mention or promise becomes a hard rule.
Reset what the AI has learned
The AI also learns on its own from your reviews, scans and conversations. Organization → AI → What the AI has learned lists those facts. Select Reset AI context to make it forget them, along with the assistant's conversation history, and start again from your answers. Reviews, replies and settings are not affected. Only admins and the owner can reset.
Use your own AI model
By default Kubeuron uses its own hosted models, with automatic fallbacks if one is unavailable. Admins and the owner can connect the business's own model in Organization → AI → AI model:
- OpenRouter key: your OpenRouter account and the model you choose, billed to you.
- OpenAI-compatible endpoint: any server that speaks the OpenAI chat API, such as a self-hosted model (Ollama, vLLM, LM Studio, LocalAI) or a private deployment. It must be reachable over HTTPS from the internet; a server on your own computer works once exposed through a tunnel.
Select Test to check the model answers before saving. Turn on Use only this model to keep your data with that model alone; otherwise Kubeuron's models take over if it doesn't answer. Keys are stored encrypted and never shown again. Searching past conversations always uses Kubeuron's models.
Set your tone
In Organization → General → AI reply voice, describe how replies should sound, for example "warm and casual" or "professional and concise". Mention what to avoid too: "friendly, never defensive about pricing" works better than "friendly".
Tips for good replies
| Rating | Approach |
|---|---|
| 5★ | Thank them and mention a specific detail. Keep it short. |
| 3★ | Acknowledge what worked, own what didn't and invite them back. |
| 1–2★ | Apologise once, don't argue and move the conversation to a private channel. |
